Established in 1963, the WFH works with member organizations in 140 countries as well as through a network of international volunteers and healthcare providers to improve and sustain care and  » Treatment for All » around the world.The WFH is seeking for 2 separate entry-level, highly-organized & resourceful team Assistants, possessing superior general office administration & organization skill to assist with and execute all tasks assigned by the Directors, and the department(s) team members.The incumbent will respond to general inquiries & correspondence, help schedule and organize virtual meetings & Conference calls, take minutes, assist prepare reports & presentations as needed, and regularly liaise with other departments/sectors and with WFH world-wide volunteers.Type of positions:TEMPORARY – 12/16 months; full-timeLocation: Montreal Head office; currently covid-19 homebasedStart date: ASAP (latest Apr 2021)___________________________________________________________________________MAIN DUTIES and RESPONSIBILITIES 1 CONGRESS & MEETINGS assistant § Provide assistance as needed, to the Director and to the various C& M Managers in the everyday organizational tasks of the department Registration, Housing, Exhibition, Scientific Program and Special Events; § Assist in all aspects of the planning and logistics of the WFH C& M events portfolio;§ Maintain and update the databases in “etouches for all WFH events; § Assist with reconciliation of all registration fees (wire transfers and credit card payments) that are received for WFH events; § Organize travelplans for speakers, WFH Board members, and Congress travel grants recipients as instructed; § Produce, distribute and follow-up on all C& M invoices if applicable;§ Coordinate translation services for event-related documents; § Formulate and follow-up all requests for Letters of invitation that are received; § Update Congresswebsite continuously; § Function as thedepartment database resource person for Raiser’s Edge; § Compose letters, respond to emails in English and Spanish as instructed; § Produce minutesfor departmental meetings.

Carry out any other task relevant to the position as required by the Director, C& M.2-(shared services) GLOBAL DEVELOPMENT / EDUCATION & RESEARCH assistant Providegeneral administrative supportto the team including: handling correspondence; document preparation, proofreading; committee meetings and conference calls scheduling & coordinating; minutes taking, completion.Assist the Director or sector Head inpreparing general department documents, reports and presentations–ex, annual and quarterly workplans, monitoring & results reports, narrative & financial reports (credit card reports, expense reports, other financials).Prepare letters in response to different individual requests.Act asdepartment’s point of contactfor internal queries.Coordinate translation services and requests as needed.Provide supportwith printing, labeling, shipment of documents(certificates, letters, etc.)Once travelling resumes, update department’s travel schedule, monitor that related travel forms are completed in a timely manner by the members of the team.On ad-hoc basis,contributeto organization ofvarious WFH regional or globalvirtual, or in-personevents.
